  • Job Summary:

    The Marketing/Communications Manager is the operational leader of the Southwest Key Programs Communications department and works under the supervision of the Director of Communications while supervising two graphic designers to provide marketing and communications support for the many programs, departments and initiatives of the organization. The chief responsibility of the Marketing/Communications Manager is to coordinate and ensure the on-time and orderly flow of all communications projects. This entails performing job intake from coworkers in other departments who have limited marketing or communications experience and guiding them to an understanding of the workflow of communications projects while helping the communications team to manage capacity and logistics based on company needs. The Marketing/Communications Manager will set expectations in writing regarding scope, timeline and quality of deliverables and ensure the end-result delivers on-brief. The Marketing/Communications Manager oversees multiple, concurrent jobs across the marketing & communications spectrum, for both print and digital communications, to both internal and external audiences. This includes the creation of brochures, flyers, posters, emails, videos, direct mail pieces, online collaterals, advertising campaigns, public relations campaigns, and internal communications pieces. Broad knowledge of the print and digital landscape, the ability to advise on and help drive strategies in close collaboration with the Director of Communications and project teams, and comfort with vendor, contractor and budgetary management a must. The ideal candidate has the ability to manage numerous small to medium creative projects simultaneously as opposed to working on a single, long-term, large-scale project, and has the skills necessary to communicate effectively and efficiently with stakeholders in order to expedite jobs and solve problems across the team. She/he is the operational leader identifying potential delivery obstacles before they arise, and applying creative problem solving in partnership with subject-matter experts to avoid roadblocks. He/she should demonstrate in-depth knowledge of commonly used project management concepts, practices, and procedures and a history of successful work with communications professionals and their clients.

     

    Essential Functions:

    The Marketing/Communications Manager

    • Is the key contact within the Communications Department for project initiation and communication of project status across multiple departments, offices and times zones
    • Is a vital contributor of written strategies for medium to large communications projects such as internal communications campaigns or external media buys.
    • Has a firm grasp of print and digital collateral production processes
    • Assists Director of Communications in managing departmental capacity
    • Works well with and enjoys supervising creative employees
    • Communicates effectively and efficiently with project stakeholders to declare statements of work and estimates; managing actuals against estimates
    • Sets expectations regarding scope, timeline and quality of deliverables and ensures the end-result delivers on-brief 
    • Holds Communications team and all other stakeholders accountable for delivering on-schedule
    • Inputs work into project management system and tracks progress of all work by paying close attention to schedules and priorities by owning the project management system; keeping track of projects, iterations, deadlines and milestones, and estimating time requirements for projects.
    • Ensures that procedures are consistently followed, identifies workflow bottlenecks, helps prioritize workflow by working with Director of Communications and other stakeholders to spot potential resource deficiencies or conflicts; making sure that Graphic Designers, Copywriters, Translators and Multimedia Specialists are on track to meet project milestones and flagging any potential issues that could affect delivery
    • Leads cross-functional meetings, provides project status and drives open issues to resolution, defining and refining roles and responsibilities so that all parties have clarity on their contributions and proper process. Communicates persuasively and effectively with stakeholders and builds consensus.
    • Maintains understanding of all programs and services offered by Southwest Key and partner school system Promesa Public Schools and develops strong partnerships with all departments of both organizations

    Qualifications and Requirements:

    Educational Requirements

    • Bachelors or higher degree in marketing, communications, account management, account planning, project management or related field

     

    Required Skills

    • 5 to 10 years of demonstrated project management, account management, marketing, and communications experience
    • Excellent verbal communications skills both written and oral
    • Detail oriented with knowledge of project management principles, methods and techniques
    • Ability to type efficiently in order to load numerous project details into project management software and compose multiple emails a day to stakeholders in order to keep projects moving and on schedule
    • Strong grasp of technical and creative steps required to produce print and digital collaterals
    • Experience managing resources, vendors, contractors, budgets and project timing
    • Strong presentation skills
    • Strong interpersonal communication skills and the ability to communicate persuasively and effectively with executive personnel
    • Ability to collaborate and be part of a creative team

    Preferred Skills

    • Project management software experience
    • Non-profit experience
    • In-house communications/marketing/advertising experience

    Physical Demands:

    Must be able to read, write, and communicate both verbally and in written form to express and exchange ideas. Must be able to type. While performing the responsibilities of this job, the employee must be able to access all components of work station and other office equipment. Frequent typing, writing, bending and twisting. Must be able to lift up to 30 pounds.

    Work Environment:

    General office environment with moderate noise. This position is mostly sedentary, involves sitting most of the time, but may involve walking or standing for brief periods of time. A busy environment with many unscheduled interruptions. Frequent computer use at workstation for extended periods of time. Public contact position requiring appropriate business apparel.
