Job Summary:

The Contract Administrator is responsible for preparing, examining, analyzing, negotiating, and revising contracts that involve the purchase or sale of goods or services such as equipment, materials, supplies, or products. The Contract Administrator is also responsible for assisting in the operational, managerial, and administrative duties relating to the Transportation contract.

Essential Functions:

  • Prepare and revise contracts that involve the purchase of sale of goods and services. Negotiate contract terms and conditions.
  • Oversee proposal planning and administration of contracts.
  • Prepare contract briefs and revisions summarizing contractual requirements and budgets. Provide contract summaries and ensure contract execution in accordance with company policy.
  • Prepare contract change notices, monitor contractor performance, including the reporting and status of contractor and owner deliverables.
  • Maintain an audit file for each contract which will include original contract, all correspondence, changes/deviations, amendments, clarifications, payment schedules.
  • Prepare and disseminate information to appropriate employees regarding contract status, facilitate contractor meetings.
  • Ensure that contractor is in compliance with legal requirements, owner specifications and government regulations.
  • Perform closing activities as needed.
  • Analyze and mitigate risk.

Other Functions:

  • Assume the duties and responsibilities of the Project Coordinator in his/her absence or as requested.
  • Assist with overall supervision and management of program personnel including recruitment, hiring, training, and terminating.
  • Assist with facilitating the established training guidelines and curriculum for employee training.
  • Develop and maintain productive relations with federal stakeholders and contractors.
  • Able to react to change productively and handle other essential tasks as assigned.

Qualifications and Requirements:

  • Bachelor’s Degree in Business Administration or related field, plus (five) 5 years of experience in the preparation, administration and monitoring of contracts, to include (2) years supervisory experience in a management and/or administrative capacity.

  • Experience with construction and/or design of professional contracts preferred.

  • Related education and experience may be interchangeable on a year for year basis. 

  • Clear criminal background check.

  • Clear Child Abuse and Neglect (CAN) or child protective services check.

  • Flexibility and willingness to work irregular and long hours including evenings and weekends

Physical Demands:

Must be able to read, write, and communicate both verbally and in written form to express and exchange ideas. While performing the responsibilities of this job, the employee must be able to access all components of work station and other office equipment. Frequent typing, writing, bending and twisting. Must be able to lift up to 10 pounds. Position requires significant travel at times.

Work Environment:

General office environment with moderate noise. Frequent computer use at workstation for extended periods of time.
