Job Summary:

The Executive Assistant-Recruitment is responsible for providing administrative support and project coordination for program recruitment efforts. The Executive Assistant-Recruitment is responsible for the day-to-day administrative support of a variety of recruiting functions, including pre-employment processes, recruiting vendor administrative duties, and be a resource to all programs to meet the hiring needs of the organization.

Essential Functions:

  • Provide wide range of administrative support, organizational assistance, and project management to the recruitment team.
  • Conduct research as requested in preparation for meetings, phone calls, board reports, and business trips.
  • Process, maintain and review all program personnel records including training records.
  • Responsible for all recruiting support activities to include: advertising positions; and as needed, assisting programs with screening, phone interviewing and completing reference checks of applicants; interviewing and hiring, organizing and facilitating job fairs as needed.
  • Assist with creating and fostering relationships with colleges and various professional organizations to attract and recruit candidates.
  • Assist with Researching and developing new recruiting techniques and supporting continuous improvement efforts and providing onsite technical support as requested.
  • Assist with offer management and the on boarding process to include- monitoring new hire paperwork and providing information and guidance to Southwest Key new hires.
  • Assist programs with processing criminal background checks, motor vehicle reports, and drug screenings in accordance with Southwest Key’s established timelines.

Complete all employment verifications and maintain database and copies of responses.

Other Functions:

  • Attend all organizational required trainings.
  • Travel as needed for job fairs, recruiting events, and other assigned tasks. Travel could be up to 25%.
  • Able to react to change productively and handle other essential tasks as assigned
  • Provide backup for the Recruiting Team duties as needed.

Qualifications and Requirements:

  • High School diploma or equivelant, with a total of three years supervisory/administrative experience as an office manager, or supporting a recruiting team.   Post-high school education preferred.
  • Computer literate with working knowledge of Microsoft Windows (Microsoft Word, Excel), variety of online database systems. Ability to learn and understand the Applicant Tracking System
  • Must be organized, thorough, reliable and consistent.
  • Ability to work independently, as well as part of a team.
  • Ability to work non-traditional hours and a flexible schedule that could include some nights, weekends and holidays
  • Ability to quickly react to change and to meet tight deadlines
  • Ability to remain professional in all situations

Physical Demands:

Must be able to read, write, and communicate both verbally and in written form to express and exchange ideas. While performing the responsibilities of this job, the employee must be able to access all components of work station and other office equipment. Frequent typing, writing, bending, twisting, walking, standing, and some stair-climbing is required. Must be able to lift up to 20 pounds.

Work Environment:

General office environment with moderate noise. A busy environment with many unscheduled interruptions. Frequent computer use at workstation for extended periods of time. Public contact position, requiring frequent interaction with a diverse people. Some locations require specific program attire.
